Office Modern: Qianchuan Wooden Door Employees Share Their OA Offline Experience (Part 1)

  Qianchuan Wooden Doors implements OA office system. How is the usage situation among employees? How do people view the impact of the information office platform on work? To find out, the editor visited various departments of the company and collected different opinions.
  Interviewee: Ordinary employees
  How often do you use OA at work? Generally, when do you use it and for what main tasks? Compared to previous workflows, what conveniences has OA brought you? Also, which aspects of the current OA system do you think need improvement?
  Xiong Wen: Usually, tasks are basically completed through the OA system, such as advertising approval, new store applications, advertising placements, etc. The OA system is quite convenient to use. As long as everyone handles matters uniformly on it, it definitely improves efficiency.
  He Xiaojiao: If everyone can be online in time and get used to using the OA system for work, matters can be handled promptly. OA office has great potential. But for leave requests, I feel it's not very convenient. I prefer face-to-face communication, which allows quick and accurate information transmission and immediate decision-making. Also, the leave reason field in the OA leave form has a word limit, so the reason can't be fully explained before it stops.
  Yang Guojun: I feel using the OA system for work is not very meaningful. I think QQ can cover everything needed for OA office, and using OA wastes time with not very obvious results.
  Interviewee: Employees who frequently use the OA system
  As administrative staff, you often release announcements. Since the OA system was launched, is it convenient to use? What conveniences has OA brought to your work, and what shortcomings affect normal work progress?
  Gao Yudan: I only use it occasionally now, mainly because I am not used to it and not familiar with the operation process. So I only use it when releasing company announcements or notices. Although there are some conveniences, the effect is not very obvious. Many matters still require paper versions or other methods to be effectively resolved. Currently, leave requests and vehicle applications are relatively convenient, but reimbursement and contract stamping are not comprehensive enough. The main reason is that everyone has not adapted to working on the OA system, and many submissions cannot be processed immediately because reviewers are offline.
  Gong Shiyi: From our side, only some matters are completed through the OA system. Although OA is very convenient, many people are not adapted and reject new things. This situation needs to be resolved reasonably, such as strengthening employee training and increasing OA system usage by supervisory departments.

  As an important department supervising the entire OA system office, can you talk about the current usage status of the company's OA system? Personally, has the OA system brought you convenience? Are there any unreasonable design aspects in the current system?
  Chen Huilin, Director of HR New Policies: From the current situation, many people have gradually started using the OA system. A series of tasks such as applications, approvals, and announcements are being carried out through OA. Personally, using the OA system for work has great advantages: 1. Clear workflow structure, effective archiving, permanent record keeping, quick retrieval, clear responsibilities and authority, and traceable process and status; 2. Reduces paper use, environmentally friendly and healthy, effectively prevents loss of documents and materials, and prevents omissions and errors; 3. Enables mobile office, making it more convenient for everyone; 4. Improves employee efficiency, using OA to release documents reduces unrelated comments in official groups, effectively improving work efficiency.
  However, some individuals still do not use the OA system, which may be largely related to habits. Many people are not used to it at first, unfamiliar with new things, and simply give up, feeling it is inconvenient. Another issue is inadequate supervision at various levels, with standards not strictly enforced. This mainly shows in the recognition of OA work during signing and approval at various levels, which needs strengthening.
  Regarding these current situations, we need to strengthen OA usage to make everyone accustomed to using OA. Therefore, some areas still need improvement:
  First, improve processes by adjusting and modifying unreasonable parts found during use; second, strengthen information updates, add and train new employees immediately, and remove departing employees from the OA system promptly; third, enhance cooperation among departments by creating work-related sections such as learning areas, company policy study, and bulletin boards; also, familiarize with current employee login status on the OA system, report actual OA usage, and ensure information is promptly known by employees.
